privacy policy

How Qofi, Inc. collects, uses, discloses, and safeguards information across qofi.ai and the Qofi Services.

At Qofi, Inc. ("Qofi", "we", "us", or "our"), we respect your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit https://www.qofi.ai, use the Qofi Experts experience at https://experts.qofi.ai, use the Qofi Reserve worker platform at https://reserve.qofi.ai, or otherwise interact with our products, services, and applications (collectively, the "Services").

This policy applies to website visitors, prospective and current contractors, candidates, client and project representatives, and other users of the Services. Engagement-specific, client, or contractor agreements may provide additional terms.

1 — information we collect

Depending on how you interact with Qofi, we may collect the following categories of information:

  • Identity and account information: name, legal name, email address, phone number, Google account identifier and basic profile information, authentication and session records, account status, and access history.
  • Professional and application information: resumes, work history, education, qualifications, skills, professional links, availability, work preferences, invitation requests, referral source and attribution, job applications, application status, and related communications.
  • Assessment information: draft and submitted answers, uploaded workbooks and other files, submission history, automatically calculated and human review scores, per-question outcomes, job-specific thresholds, reviewer notes, pass/fail decisions, and audit records.
  • Onboarding and engagement information: offers and acceptances, contractor classification, agreements, assigned projects, availability and time records, deliverables, work product, performance information, collaboration-system access, and offboarding records.
  • Identity, screening, tax, and payment information: verification and background-check status and results, tax-form selections, pay rates, hours, earnings, payout history, payment-provider account identifiers, and onboarding status. Payment, tax, identity, or screening providers may collect additional information directly, such as bank-account details, tax identification numbers, government identification, or date of birth, under their own notices. Qofi receives the status, results, and other information needed to administer the relationship and comply with law.
  • Communications: messages, support requests, contact-form submissions, newsletter preferences, survey responses, and communications through email or Qofi-managed collaboration channels.
  • Device and usage information: IP address or a hashed derivative, browser and device type, operating system, pages and features used, referring URLs, access times, errors, performance records, security events, cookies, and similar technologies.

2 — where information comes from

We collect information directly from you; from your Google account when you choose Google sign-in; from people who refer you or share a Qofi referral link; from client, project, recruiting, and professional sources; from service providers such as payment, identity, screening, communications, collaboration, and hosting providers; from public and professional sources where permitted; and automatically from your device and use of the Services. A person who directly provides your information to Qofi must represent that they have permission to do so.

3 — how we use information

  • Provide, authenticate, secure, support, and improve the Services.
  • Create and administer accounts, invitations, profiles, applications, assessments, and onboarding.
  • Evaluate qualifications, match people to projects, make candidacy decisions, and administer engagements.
  • Verify identity and eligibility, conduct authorized screening, prevent fraud and misuse, and enforce account restrictions.
  • Administer contracts, approved time and work, invoicing, tax records, and contractor payments.
  • Operate project communications, collaboration access, support, and offboarding.
  • Send transactional, security, application, engagement, and—when requested—marketing communications.
  • Analyze reliability and usage, debug problems, protect Qofi and others, enforce agreements, and comply with law.

Qofi may process user-provided content to deliver AI-enabled features and evaluate system performance, reliability, security, and compliance. We do not use customer or candidate content to train public or third-party AI models without permission.

We may create and use aggregated or de-identified information for analytics, security, research, and service improvement. When information is maintained as de-identified, Qofi will not attempt to re-identify it except to test de-identification safeguards or as permitted by law.

4 — assessments and automated processing

For some job-linked assessments, Qofi automatically scores eligible structured answers against a job-specific threshold. Uploaded spreadsheets and other workbook contents are retained as review evidence but are not automatically read or graded in the current version. A passing automatic score places the candidate into a Qofi human review pool; it does not automatically create an offer, onboard the candidate, grant project access, or create a payment. A below-threshold score may close the candidacy. The deterministic scorer evaluates submitted keyed answers; it is not designed to use race, color, national origin, religion, sex, gender identity, sexual orientation, disability, age, or another legally protected characteristic.

Assessment answer keys, thresholds, numeric scores, per-question correctness, reviewer notes, and pass/fail results are confidential Qofi information. They are available only to authorized Qofi administrators, operators, and internal project leads and are not shown to candidates, including candidates later approved for an engagement, except where disclosure is required by applicable law.

Where applicable law provides a right concerning automated decision-making or profiling with legal or similarly significant effects, you may request information, human review, an appeal, or an available opt-out by contacting Qofi. You may also request a reasonable accommodation or legally required alternative selection process. These requests do not require Qofi to disclose answer keys, security methods, privileged material, or confidential evaluation details beyond what applicable law requires.

5 — legal bases for processing

Where a law requires a legal basis, Qofi relies on performance of a contract or steps requested before entering one, our legitimate interests in operating and securing the Services and evaluating and administering engagements, consent where requested, and compliance with legal obligations. You may withdraw consent for future processing at any time, but withdrawal does not affect processing already performed or processing supported by another lawful basis.

6 — how we disclose information

We may disclose personal information to vendors and professional advisers that help provide hosting, storage, authentication, analytics, communications, collaboration, customer support, identity verification, background screening, tax, payment, security, audit, and legal services. We may also disclose appropriate profile, application, engagement, and work information to the client or project participants involved in an engagement; to a person or organization at your direction; to authorities or others when required by law or reasonably necessary to protect rights, safety, and security; or in connection with a financing, merger, acquisition, reorganization, or sale of assets. Service providers process information under their own agreements and, where applicable, instructions from Qofi.

Qofi does not sell personal information and does not share personal information for cross-context behavioral advertising. We do not disclose Qofi's confidential assessment results as part of candidate profiles.

If you use a Qofi referral link, Qofi may tell the referring member only the limited attribution and reward status needed to administer the referral program, such as whether a referral was received, attributed, qualified, or not qualified. We do not provide the referrer with your resume, application answers, assessment materials, scores, result, reviewer notes, payment information, or the reason for a candidacy decision.

7 — cookies and analytics

Strictly necessary technologies support Google sign-in, authenticated sessions, CSRF protection, security, load handling, and requested platform features. They operate when needed to provide the Services and may expire at the end of a session or after the configured security period.

Preference storage remembers settings such as your optional-analytics choice. The Website currently uses the local-storage key qofi.consent.v1for this purpose.

Optional analytics helps Qofi understand aggregate Website usage and performance. It does not load until you accept it through the cookie banner. Qofi does not currently use advertising cookies or candidate data for targeted advertising. You can accept or reject optional analytics with equal controls and can use browser settings to clear or block cookies and local storage. Blocking strictly necessary technologies may prevent account or platform features from working.

8 — data retention

Qofi currently retains account, worker, invitation, application, assessment, engagement, identity evidence, enforcement and offboarding, payment, and audit records indefinitely. This includes assessment answers, uploaded workbooks, calculated grades, internal decisions, and the history needed to prevent restricted people from reapplying through linked identities. We retain these records to administer present and future relationships, preserve accurate audit and payment history, prevent fraud and abuse, comply with law, and establish, exercise, or defend legal claims.

Contact and support inquiries are retained while needed for the relationship, security, or legal purposes, and newsletter information is retained until you unsubscribe or we discontinue the list. We may delete or de-identify information earlier. A deletion request may be limited where retention is permitted or required for security, fraud prevention, recordkeeping, payment, audit, dispute, or legal purposes. Providers may apply their own legally permitted retention periods.

9 — data security

Qofi uses administrative, technical, and organizational safeguards designed to protect personal information, including access controls, private file storage, transport encryption, restricted administrative access, audit records, and security monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10 — your rights and choices

Depending on where you live, you may have rights to request access to or a copy of personal information, correction, deletion, restriction, objection, portability, withdrawal of consent, or information about how data is used and disclosed. You may also have a right to appeal a denied request and to use an authorized agent. Qofi will not discriminate against you for exercising an applicable privacy right. Qofi does not sell personal information or share it for cross-context behavioral advertising, so there is no such sale or sharing to opt out of at this time.

We may need to verify your identity and authority before responding. Certain records, including confidential assessment materials, security investigations, fraud signals, privileged information, and records Qofi must or may retain, may be withheld or retained to the extent permitted by law. To submit a request, email the address below. You can unsubscribe from marketing email using its unsubscribe control; operational and security messages may still be sent.

Where applicable, you may also request a list of specific third-party organizations to which Qofi disclosed your information. Sensitive personal information is used only to provide and secure the Services, administer an engagement or payment, verify identity and eligibility, prevent fraud, and comply with law—not to infer unrelated personal characteristics.

11 — international data transfers

Qofi is based in the United States. If you access the Services from elsewhere, your information may be transferred to and processed in the United States and other places where Qofi or its providers operate. Where applicable law requires a transfer mechanism or other safeguard, Qofi will use an appropriate safeguard.

12 — children’s privacy

The Services are not directed to anyone under 18, and individuals under 18 may not create a Reserve account or apply for contractor work. If you believe a minor has provided personal information to Qofi, contact us so we can review and take appropriate action.

13 — third-party services

The Services may link to or integrate with third-party services. Their privacy practices are governed by their own notices. Qofi is not responsible for the privacy practices of a service we do not control.

14 — changes to this policy

We may update this Privacy Policy as our Services, practices, or legal obligations change. We will update the effective date and provide additional notice of material changes when required by law. We encourage you to review this page periodically.
